1. Agreement
By using the website karwanearafat.com or engaging Karwan-e-Arafat (“we,” “us,” “our”) for tour arrangements, you agree to these Terms of Service. Karwan-e-Arafat is operated by Max Peskowitz from 34 Maple Ave, Hunter, NY 12442.
2. Our Services
We arrange Umrah tour packages, including flights, accommodation, visa assistance, and ground transportation. We act as an intermediary between you and travel suppliers (airlines, hotels, etc.). The actual travel services are provided by those third parties, and their terms apply to the services they provide.
3. Booking and Payment
3.1 Booking Process
Bookings are accepted only by email. You send an inquiry with your preferred package, dates, and group size. We respond with a quote. A booking is confirmed only when you accept the quote in writing and we have received the required payment.
3.2 Payment
We accept cash only. No credit cards, checks, or electronic transfers. Payment terms (amount, due dates) are specified in the written confirmation we send before you commit. Failure to pay by the agreed dates may result in cancellation of your booking.
4. Refund and Cancellation Policy
4.1 Cancellation by You
If you cancel your booking, the following applies:
- More than 60 days before departure: You may receive a partial refund, subject to any non-refundable fees charged by airlines or hotels. We will pass through any recoverable amounts after deducting our administrative costs.
- 30–60 days before departure: Refunds are unlikely. Airlines and hotels typically impose heavy penalties. We will attempt to recover any possible amounts but cannot guarantee a refund.
- Less than 30 days before departure: No refund. Suppliers generally do not refund at this stage. You may be able to claim from travel insurance if you have coverage.
4.2 Cancellation by Us
We may cancel a booking if (a) you fail to pay by the due date, (b) a supplier cancels and no suitable alternative is available, (c) circumstances beyond our control (e.g., natural disaster, pandemic) make the trip impossible. In such cases, we will refund any amounts we can recover from suppliers. We are not responsible for losses beyond the amounts paid to us.
4.3 Refund Process
Refunds, when applicable, are made in cash or by the same method as payment, within 30 days of our confirmation that a refund is due. Delays may occur if we must wait for supplier reimbursements.
5. Travel Documents and Requirements
You are responsible for having valid travel documents (passport, visa, etc.) and meeting all entry requirements for Saudi Arabia and any transit countries. We assist with visa processing but cannot guarantee approval. Denial of a visa is not grounds for a full refund unless our written terms specify otherwise.
6. Limitation of Liability
We are not liable for:
- Acts or omissions of airlines, hotels, or other suppliers
- Delays, cancellations, or changes caused by suppliers or circumstances beyond our control
- Loss, injury, or damage to persons or property during travel
- Consequential or indirect damages
Our liability is limited to the amount you paid us for the affected services.
7. Website Use
You may use our website only for lawful purposes. You may not scrape, copy, or misuse our content. Our website content is for information only; it does not constitute a binding offer until we confirm a booking in writing.
8. Privacy
Your use of our website and services is also governed by our Privacy Policy. By using our services, you consent to the collection and use of your data as described there.
9. Changes
We may update these Terms from time to time. The current version is always on this page. Continued use of our services after changes indicates acceptance. For existing bookings, the terms in effect at the time of booking apply unless we agree otherwise in writing.
